TURNAROUND TIME

At Prime Flow Studio, we take pride in delivering high-quality work with attention to detail and professional editing. Standard photo galleries are typically delivered within 5–10 business days depending on the size of the session and editing workload. Video projects may require additional time depending on the complexity of the project. Sneak peeks may be delivered within 24–48 hours when available. Please understand that quality takes time, and every image/video is carefully reviewed and edited to match our artistic style and standards.

DEPOSITS

A non-refundable deposit is required to officially secure your booking date and time. No session or event will be considered confirmed until the deposit has been received. Deposits go toward reserving your time slot, preparation, planning, communication, and scheduling. The remaining balance must be paid before or on the day of the session unless otherwise agreed upon. Failure to complete payment may result in cancellation of services and withholding of final content.

WEATHER CONDITIONS

Outdoor sessions are heavily dependent on weather conditions and lighting quality. In the event of rain, storms, unsafe weather, or extreme conditions, sessions may be rescheduled to ensure the safety of everyone involved and to maintain the highest quality results possible. Cloudy weather does not always require cancellation and may still allow the session to continue depending on the situation. Prime Flow Studio reserves the right to make the final decision regarding weather-related rescheduling.

Cancellation & Rescheduling

We understand that unexpected situations may happen. Clients must provide at least 72 hours notice if they need to reschedule their session or event. Last-minute cancellations, repeated reschedules, or failure to appear will result in loss of deposit and may require a new deposit to book again. Rescheduling requests are subject to availability. Prime Flow Studio reserves the right to cancel or reschedule sessions in cases of emergency, illness, unsafe conditions, or unforeseen circumstances.

Copyright & Usage

Prime Flow Studio retains the copyright and creative ownership of all photographs and video content captured during sessions and events. Clients are welcome to share and post final delivered images/videos on personal social media platforms as long as proper credit is given when possible. RAW/unedited files will not be delivered under any circumstances, as they do not represent the final quality and artistic vision of Prime Flow Studio. Images and videos may not be altered, heavily filtered, sold, or used for commercial purposes without written permission. Prime Flow Studio may use selected content for portfolio display, social media, website promotion, and marketing purposes unless otherwise requested by the client in writing.

Emergencies

While every effort is made to provide a smooth and professional experience, Prime Flow Studio is not responsible for circumstances beyond our control including severe weather, accidents, illness, emergencies, equipment malfunction, or technical failures. In the unlikely event of equipment failure, file corruption, or unforeseen emergencies, every reasonable effort will be made to recover, recreate, or reschedule the session when possible. Liability is limited to the total amount paid by the client for the affected service. Client cooperation and understanding in emergency situations are greatly appreciated.

CLIENT COOPERATION

Prime Flow Studio is committed to creating a professional, comfortable, and enjoyable experience for every client. Clients are expected to arrive prepared, on time, and communicate clearly regarding locations, outfit changes, special requests, or important moments they would like captured. Prime Flow Studio is not responsible for missed shots, delays, poor lighting conditions caused by venue restrictions, lack of cooperation from attendees, or interruptions beyond our control during events or sessions. Respectful communication and cooperation from all parties help ensure the best possible final results.

Contracts

Certain sessions, events, and larger projects may require a signed agreement or contract before services are provided. Contracts are used to clearly outline services, payment details, session expectations, delivery timelines, cancellations, rescheduling, and usage rights for both the client and Prime Flow Studio. By booking with Prime Flow Studio, clients acknowledge and agree to all listed policies and terms of service. Failure to follow agreed terms may result in cancellation of services without refund.

MODEL RELEASE

Prime Flow Studio may use selected images and video content from sessions for portfolio display, website content, social media, promotional materials, advertisements, and marketing purposes. Client privacy is respected at all times. Clients who prefer their content not be shared publicly must notify Prime Flow Studio in writing before or during the booking process. Prime Flow Studio will never sell client images or use content in a misleading or inappropriate manner. Booking a session grants permission for reasonable promotional use unless otherwise requested by the client.

BACK UP & FILE STORAGE

Prime Flow Studio takes reasonable precautions to safely store and protect all client content after sessions and events. Final galleries and delivered files are typically stored for a limited period after delivery. Clients are strongly encouraged to download, save, and back up all images and videos immediately upon receiving their gallery. Prime Flow Studio is not responsible for lost files after the storage period has expired. Multiple backup methods may be used to help protect client content whenever possible.

REVISION

Prime Flow Studio includes professional editing and creative direction with every delivered gallery or video project. Minor revision requests may be accepted depending on the project; however, excessive editing requests or major changes outside the original agreement may result in additional fees. Editing style, color grading, retouching, and overall creative decisions remain at the discretion of Prime Flow Studio in order to maintain artistic consistency and quality. RAW or unedited files will not be provided.

Equipment Failure & Liability

While Prime Flow Studio takes every precaution to maintain reliable equipment and properly back up client content, unforeseen technical issues may occasionally occur. Prime Flow Studio is not liable for circumstances beyond our control including camera malfunctions, memory card corruption, lighting failure, audio issues, file corruption, power outages, weather conditions, or other unexpected technical difficulties. In the unlikely event of equipment failure or loss of content, every reasonable effort will be made to recover, recreate, or reschedule the affected session whenever possible. Liability is limited to the total amount paid by the client for the affected service. By booking with Prime Flow Studio, clients acknowledge and accept these terms.
